Senior Publicist Job Description (Part-time or Full-time)

Reports to: Sarah Russo

Salary Range: $60,000 – $70,000 (full-time, experience dependent)

Job Summary:

Senior publicist to handle all aspects of publicity for books, expert campaigns, and other literary projects that include corporate communications work. Will coordinate national/regional/local publicity, work directly and independently with authors and media, in-house publicists and editors, and the media, and be responsible for creating and executing campaigns on time and with great results. The senior publicist will bring their own media and author relationships to the job and will hone and build relationships over time through virtual and in-person meetings. The senior publicist will also have some staff oversight, delegation of responsibilities, and new business development work. P1M is a small firm and other tasks may be assigned across PR, communications, marketing, social media, and branding as needed. P1M works with many authors who are experts in their subject area, the senior publicist will work regularly with oped editors, producers at major radio and televisions shows, and will have strong relationships in this space.

 

Primary Responsibilities:

    • Manage corporate communications projects, book awards, and other business centric PR initiatives for P1M clients.
    • Manage book campaigns from beginning to end, including booking events, radio, podcast and television interviews, pitching for reviews both in print and online, and pitching for print and online feature coverage.
    • Independently communicate with authors, editorial, publicity, and marketing staff about publicity achieved and reporting on individual titles at meetings or via regular updates by email with the client and publisher and make smart and effective decisions around client communication.
    • Research and build excellent lists that require little editing; identify the best and most appropriate audience for assigned projects and compile media lists accordingly, pitching books and authors to all appropriate venues.
    • Maintain and foster media contacts through research and in person meetings and Zoom meetings.
    • Research and write excellent press releases, pitch letters, and other publicity materials that require little editing.
    • Maintain publicity updates, campaign trackers, and wrap-up memos, and keep client abreast of all developments during their campaign.
    • Effectively utilize our campaign management tool, ClickUp, to setup campaigns and deliver tasks on time, delegate tasks, take notes, communicate with the team, and schedule review of materials on time and within scope.
    • Smartly manage scope creep by clients and reorient the client back to the core plan.
    • Keep Sarah notified of all problems, challenges, or hurdles that we might need to triage, brainstorm, or fix, so she is not taken by surprise if we have to break issues to a client.
    • Work with Sarah to plan and map publicity campaigns and contribute smart ideas to all campaigns.
    • Work with the marketing team to volunteer content marketing ideas for your clients and to help promote P1M business interests.
    • Assess incoming projects, active participant in new business calls when needed, and create creative and strategic proposals as necessary.

 

Job Requirements:

The senior publicist must be creative and have an enthusiastic and energetic approach to exploring opportunities for our clients. A familiarity with key print, broadcast, and online book contacts and strong relationships with those contacts are required. Must be at ease with pitching to media, dealing with authors, and juggling multiple projects at once. Excellent writing and research skills required. Experience working in corporate communications or marketing is considered a significant plus for this role. Familiarity with Cision, Muck Rack, Publicity Assistant, and the MS Office Suite is necessary.

Job Summary:

Assistant to handle day-to-day tasks related to the running of a small literary PR and marketing firm. The right candidate will have a careful attention to detail, a willingness to learn and pitch in wherever help is required, the ability to work independently when needed and on team projects. Day-to-day tasks include helping to maintain our media database, helping to maintain Sarah’s inbox and schedule, communicating with potential clients, packing and shipping materials, supporting social media and marketing work for clients and the business, and administrative support as needed. P1M is a small firm and other tasks may be assigned as needed.

 

Primary Responsibilities:

  • Manage Sarah’s email inbox and calendar, including scheduling meetings, prioritizing emails, and answering emails when appropriate.
  • Process and mail book and galley requests from media and influencers.
  • Assist with sending out publicity alerts/updates, maintaining publicity histories, and setting up searches for clips/reviews.
  • Assist with marketing for P1M and for client campaigns including coding blog posts, creating infographics and social media cards, posting to social media, researching influencers, etc.
  • Run errands as needed to help Sarah focus on the primary tasks associated with running P1M. Those can include trips to UPS, the post office, and Staples, picking up orders, and any other day-to-day errands that keep Sarah on task.
  • Assist and manage any additional duties associated with the smooth running of the business as assigned by Sarah.
  • Help the publicists with research, drafting of materials, and attending meetings.
  • Work closely with our marketing manager to create social media posts to help promote P1M business interests.

 

Job Requirements:

College degree is not required but excellent phone manner, communication skills, and professional etiquette is required. The right candidate will be self-motivated and detail oriented with the ability to work independently and take direction smoothly. Strong writing skills are required. Must be well organized and have the ability to prioritize and juggle multiple on-going tasks. Familiarity with MS Office Suite is necessary. Familiarity with PR databases like Cision or Muckrack or with design software like Canva are a plus.
